Position Overview

We are looking for a responsible, target-oriented, and highly organized professional (Female candidates are encouraged to apply) to manage international recruitment and visa-related operations.

The selected candidate will communicate regularly with clients, recruitment partners, local agents, candidates, legal representatives, and other relevant stakeholders. The person will be responsible for coordinating documentation, following up on visa and work permit processes, maintaining accurate records, resolving operational issues, and ensuring that assigned recruitment and business targets are achieved.

This role requires strong ownership. The candidate will be expected to manage each assigned requirement from initial communication through documentation, visa processing, deployment, and final closure.


Responsibilities

1. Client, Partner and Agent Communication

  • Communicate with recruitment partners, agencies, legal representatives, and local sourcing agents.
  • Collect and understand workforce requirements, including job categories, number of workers, salary, benefits, contract conditions, timelines, and documentation requirements.
  • Conduct regular follow-ups with clients and partners regarding demand letters, work permits, visa approvals, contracts, and deployment schedules.
  • Maintain professional communication through email, WhatsApp, telephone calls, online meetings, and formal correspondence.
  • Prepare meeting notes, follow-up summaries, and action plans after discussions with clients and partners.
  • Build and maintain long-term relationships with reliable recruitment partners and agents.

2. Visa and Work Permit Coordination

  • Coordinate visa, work permit, appointment, embassy, medical, police clearance, attestation, and other processing requirements.
  • Follow up with overseas partners, legal representatives, embassies, visa centers, and relevant service providers.
  • Maintain country-wise visa and documentation checklists.
  • Monitor the status of each candidate’s visa and work permit application.
  • Identify processing delays, missing documents, or compliance issues and escalate them to management.
  • Ensure candidates receive accurate instructions regarding documentation, appointments, interviews, medical examinations, and travel preparation.
  • Avoid making unauthorized commitments or guarantees regarding visa approval, processing time, salary, or employment conditions.

3. Documentation Management

  • Collect, verify, organize, and maintain candidate documents, including passports, photographs, CVs, experience certificates, educational certificates, police clearances, medical reports, contracts, and visa-related forms.
  • Maintain complete digital and physical files for candidates, clients, agents, and recruitment projects.
  • Check documents for accuracy, consistency, validity, spelling, dates, signatures, and expiry periods.
  • Prepare candidate profiles, CV packages, manpower lists, document submission sheets, and other required reports.
  • Maintain proper version control and confidentiality of all personal and business documents.
  • Ensure no document is submitted without required internal review and authorization.

4. Recruitment and Candidate Coordination

  • Coordinate candidate sourcing based on client requirements.
  • Work with local agents, training centers, trade testing centers, and sourcing partners.
  • Screen candidates based on experience, skills, age, qualifications, and employer criteria.
  • Schedule interviews, trade tests, medical examinations, document collection, and orientation sessions.
  • Communicate job terms clearly to candidates, including salary, working hours, accommodation, food, transportation, insurance, contract duration, ticket arrangements, and applicable fees.
  • Maintain candidate attendance, selection, rejection, replacement, and deployment records.
  • Ensure candidates do not receive misleading, incomplete, or unauthorized information.

5. Operational Ownership

  • Take full responsibility for assigned recruitment projects and workforce requirements.
  • Prepare project-wise action plans, timelines, candidate pipelines, and processing trackers.
  • Follow up proactively rather than waiting for instructions from management.
  • Coordinate internally with management, accounts, legal advisers, marketing teams, and external partners.
  • Resolve routine operational problems and escalate critical matters promptly.
  • Ensure every project progresses according to the agreed timeline.
  • Provide management with accurate status updates, risks, pending items, and recommended actions.

6. Business Development Support

  • Identify potential employers, overseas recruitment partners, agencies, and manpower requirements.
  • Support management in developing new recruitment markets and international partnerships.
  • Follow up on business leads and prospective demand letters.
  • Assist in preparing proposals, presentations, service offers, recruitment plans, and partnership documents.
  • Maintain a database of potential clients, agents, employers, and international partners.
  • Support negotiations regarding service scope, recruitment timelines, commercial terms, and operational responsibilities.
  • Contribute directly to monthly recruitment, processing, deployment, and revenue targets.

7. Reporting and Record Keeping

  • Maintain updated recruitment and visa processing trackers.
  • Prepare daily, weekly, and monthly reports.
  • Report on:
  • Active client requirements
  • Candidate sourcing progress
  • Candidate selection status
  • Documents collected and pending
  • Visa and work permit status
  • Medical and police clearance status
  • Deployment schedules
  • Partner and agent performance
  • Revenue and collection status
  • Risks, delays, and required management decisions
  • Maintain proper records of communications, approvals, payments, and submitted documents.

8. Compliance and Confidentiality

  • Follow company policies, approved procedures, and applicable recruitment and immigration regulations.
  • Coordinate recruitment and deployment activities only through management-approved and legally authorized channels.
  • Protect confidential client, partner, candidate, passport, financial, and commercial information.
  • Do not collect money, sign agreements, issue receipts, confirm employment, or make financial commitments without written management authorization.
  • Immediately report suspicious documents, fraudulent agents, misrepresentation, or unethical practices.
  • Ensure transparency in all communications with candidates, clients, and partners.

Job Requirements

  • Preferred degrees are Bachelor’s degree in Business Administration, Management, Human Resources, International Relations, Law, or a related discipline..
  • Experience must be up to 2 years.

Educational Requirements

  • Candidates with strong relevant experience may be considered regardless of academic background.


Experience Requirements

  • Minimum 2 years of experience in overseas recruitment, manpower operations, visa processing, immigration services, travel operations, international business, or agency coordination.
  • Experience dealing with European, GCC, Asian, or international employment markets will be preferred.
  • Experience communicating with foreign clients and partners will be an advantage.
  • Knowledge of overseas employment documentation and recruitment procedures is highly desirable.
